Where QuickBooks Desktop stands today
QuickBooks Desktop isn't being switched off, but the terms around it have been moving. Here is what has and hasn't changed, as of October 7, 2026.
- Desktop 2023 lost support on May 31, 2026. Intuit's policy says discontinued versions can no longer download bank transactions, send online payments or transfers, calculate payroll taxes, or process card and check payments, and that they stop receiving critical security updates. Existing Desktop Plus and Enterprise subscribers get version 2024 at no extra cost as part of their annual plan.
- Desktop 2024's May 2027 end date no longer applies. In August 2026 Intuit said it is "moving away from our historical 3-year software lifecycle" and that version 2024 won't be discontinued in May 2027, as reported by Accountability Advisor. That is Intuit's stated position today, not a promise that Desktop stays unchanged or available forever.
- New customers can't start on Pro Plus or Premier Plus. Accounting-industry sources report that Intuit stopped selling new Pro Plus, Premier Plus and Mac Plus subscriptions to new customers in 2024, while existing subscribers can renew. Desktop Enterprise is a separate product line that this guide doesn't cover.
What that adds up to: if you already run Desktop, nothing forces you off it this week. But a new household can't start on Pro Plus or Premier Plus, an older version has already lost bank downloads, and the long-term path is Intuit's call, not yours.
Intuit has revised these terms recently, so check its service discontinuation policy for the current wording before you decide anything.
What to look for in a QuickBooks Desktop replacement
People who keep personal books in Desktop mostly aren't doing it for the invoices. They're doing it because a real ledger gives them things category-tracking apps don't. These are worth keeping:
- A balanced ledger. Every entry has equal debits and credits, so errors show up instead of hiding. (New to the idea? Our guide to double-entry accounting for personal finance walks through it.)
- Statements from the books. A balance sheet, an income statement and a cash flow statement for any period you choose.
- A chart of accounts you control. Your accounts, your numbering, your subtotals. See a personal chart of accounts for a starting point.
- Reconciliation and period close. Matching each account to its statement, then locking the month.
- An audit trail. Numbered journal entries, and corrections that leave a record.
- Drill-down. Click a total and see the entries behind it.
- Your history, and a way out. A way to import what you already have, and to export it again.
What a household rarely needs: payroll, invoicing, sales tax and inventory. That's most of what QuickBooks is built around, and it's what you leave behind when you move to something designed for personal finances.
QuickBooks Desktop alternatives, compared
There's no single right replacement. It depends on how much structure you want and how much you're willing to run yourself.
| Option | Real double-entry | Statements for any period | Bank connections | Best for |
|---|---|---|---|---|
| QuickBooks Desktop (stay put) | Yes | Yes | Depends on version | Existing users on a fully supported version |
| QuickBooks Online | Yes | Yes | Yes | Small businesses; more than a household needs |
| GnuCash | Yes | Yes | File imports | Free, open-source software you run and back up yourself |
| Plain-text accounting (Beancount, Ledger, hledger) | Yes | Yes, through reports and queries | Importers you write or configure | Developers comfortable on the command line |
| A spreadsheet | Only if you build it | Only if you build it | Manual entry or import | Small, simple finances |
| Budgeting and net-worth apps | No: categories, not ledgers | Spending and net-worth views | Yes | Day-to-day spending and budgets |
| Qualaby | Yes | Yes | Yes, through a review queue | Households that want real books without the business features |
Characterizations are general; check each product's current features before you choose.
Qualaby is in invite-only early access right now. If you need something today, one of the established options above is the better call.
What Qualaby adds on top of the ledger: because the books are real, the analysis is built from them. You get net worth, a financial health score, a cash cushion measure, budgets and forecasts, and retirement planning (Social Security claiming, Roth conversions, required minimum distributions and IRMAA). The home page shows each of them.
How Qualaby handles what you'd miss
If you're leaving Desktop, these are the things you'll look for first.
| In QuickBooks Desktop | In Qualaby |
|---|---|
| Journal entries | Numbered journal entries. An entry has to balance before it can be saved. |
| Voiding a transaction | Voided entries stay on the record instead of disappearing. |
| Reports for a date range | A balance sheet, income statement and cash flow statement for any period. |
| Drilling into a report number | Double-click any number to see the entries behind it. |
| Reconciling an account | Reconcile each account to its statement, then close the month. |
| Online banking downloads | Bank and card transactions arrive in a review queue with suggested accounts before they reach your books. |
| Loan payments | Payments split into principal, interest and escrow, with an amortization schedule. |
| Exporting to Excel | The ledger, statements, forecasts and loan schedules export as formatted Excel. |
| Not what QuickBooks is built for | Net worth, financial health score, cash cushion, budgets and forecasts, and retirement planning. |
Moving your QuickBooks Desktop history to Qualaby
Qualaby imports QuickBooks Desktop's Journal report, so your history comes with you instead of starting from zero.
How the import works
- In QuickBooks Desktop, open Reports → Accountant & Taxes → Journal, choose your date range, and export the report to Excel (.xlsx).
- In Qualaby, upload the file. A preview shows the transaction count, the date range, and how many accounts and vendors are new.
- Review accounts and vendors. Accounts that match one in your chart are linked. New ones are created, with a type guessed from the name that you can change before importing, and vendors come from the Name column.
- Import. Each QuickBooks transaction is posted with the same debit and credit lines. Qualaby remembers each QuickBooks transaction number, so importing the same file again skips what's already there.
Qualaby reads the Excel export of the Journal report. QuickBooks' native IIF format isn't supported yet.
What to check afterward
Imports aren't guaranteed to be complete, so compare before you rely on the new books. Run the balance sheet in Qualaby and in QuickBooks as of the same date and resolve any difference.
What doesn't come across
The Journal report holds transactions: dates, accounts, names, memos and amounts. Memorized transactions, saved report layouts and attachments stay behind.
Starting fresh instead
If you'd rather not import years of history, set up a clean chart and enter opening balances as of a start date. The personal chart of accounts guide has a ready-made starter list.
When you should stay on QuickBooks Desktop
- You're on Desktop 2024 or newer and it does what you need, and you're comfortable with Intuit's current support position.
- You run a business in the same file and need invoicing, payroll, sales tax or inventory. Qualaby offers none of those.
- You'd rather use free software. GnuCash and plain-text tools are real double-entry options.
- You need something today. Qualaby's early access is invite-only.
None of this is a reason to rush. The point of knowing your options early is that the move, when you make it, is a calm one.
Common questions
Is QuickBooks Desktop being discontinued?
Parts of it have been. Desktop 2023 lost support on May 31, 2026, including bank downloads and security updates. Desktop 2024 had a May 2027 end date that Intuit says no longer applies; it describes ongoing support today, which isn't a guarantee. Intuit also stopped selling new Pro Plus and Premier Plus subscriptions to new customers in 2024. The dated details are in the first section above.
Can I use QuickBooks Desktop for personal finances?
Yes. Accounting software doesn't care whether the entity is a business or a household, and plenty of CPAs keep their own books in it. The trade-off is that it's built around business workflows like invoices, payroll and sales tax, and household views such as net worth over time, loan payoff and retirement readiness aren't what it's designed around.
Can Qualaby import my QuickBooks Desktop history?
Yes, from the Journal report exported to Excel (.xlsx). QuickBooks' native IIF format isn't supported yet. The steps are above.
Does Qualaby do payroll, invoicing or sales tax?
No. Qualaby is for personal finances, so it has no invoicing, payroll, sales tax or inventory. If you need those, you need business accounting software.
Is Qualaby available now?
Early access is invite-only. Join the waitlist and we'll email you when it opens.
